Privacy Policy for Getsetgo Physio

This Privacy Policy explains how GET SET GO – THE PHYSIOTHERAPY CLINIC (“GET SET GO”, “we”, “us”, or “our”) handles information when you use the Getsetgo Physio mobile application and its connected services. The app provides account-based clinic features and, where enabled, activity and fitness features. The features available to you depend on your account and role.

1. Information we handle

• Account and contact information: information such as your name, account identifier, email address, phone number and role that is provided during account creation or by the clinic administrator.
• Clinic and care information: information entered into or made available through the app, which may include appointments, follow-ups, physiotherapy or clinical records, prescribed exercise plans, diet or nutrition plans, session records, documents and invoice details. Access depends on your account permissions.
• Health Connect step data: if you choose to connect Health Connect and grant permission, the app reads step-count records to calculate and display your daily step total and recent step history.
• GPS activity and location: if you start a GPS activity such as walking or running, the app uses device location while that activity is active to calculate activity metrics such as distance, speed and duration. A session may include GPS points or derived location information.
• App and device information: information needed to authenticate your account, keep the app secure, diagnose problems and deliver notifications, which may include a push-notification token and technical logs.
• Voice input, if used: if you choose a voice-typing feature, the app may request microphone access to capture speech for transcription. You can decline this optional feature.

2. How Health Connect step data is used

With your permission, Getsetgo Physio reads step-count data from Android Health Connect to show the daily Steps Counter and recent step history in the Activity Monitor. The app requests read access for the step-count feature; it does not need access to heart rate, sleep or unrelated Health Connect records for this feature.

The app calculates a daily step total and sends the total and date to GET SET GO’s server so the activity record can be saved and shown in the app’s activity history. The app uses this information for activity tracking and display, not for advertising or selling personal health information.

You control Health Connect access. You can deny the request or revoke the app’s access later through Health Connect settings. If access is denied, the Health Connect-based step feature may not be available.

3. How GPS activity data is used

When you actively start a GPS-tracked activity such as walking, running, jogging or cycling, Getsetgo Physio collects device location data to calculate and record activity metrics such as distance, speed, pace and duration. During an active GPS session, location tracking may continue in the background or when the app is closed or not in use so the activity can continue to be measured. Tracking is intended to stop when you tap Stop & Save. Activity session details are sent to GET SET GO's server to save and display your activity history. Location data is not used for advertising.

You can refuse location permission, decline the in-app location disclosure, or stop a GPS activity. GPS-based features will not work fully without the required location access. The app is not intended to collect location continuously when you have not started an active GPS activity.

4. How we use information

• To sign you in and provide the app’s account-specific features.
• To support clinic operations, including appointments, follow-ups, records, prescribed plans and billing features available to your account.
• To show step totals, activity history and GPS activity summaries when you use those features.
• To protect the app, troubleshoot errors, maintain service reliability and provide updates or relevant service notifications.
• To respond to requests, maintain necessary business records and comply with applicable legal obligations.

5. When information is shared

We do not sell personal or health information. Information may be accessed by authorised clinic personnel or administrators when needed for their assigned clinic or service responsibilities. We may use service providers that host, secure or operate the app and its connected services, including servers and notification infrastructure; those providers may process information only as needed to provide those services.

Health Connect permissions are managed by Android/Health Connect. We may disclose information if required by law, to respond to valid legal process, or to protect users, the clinic and the service. We do not use Health Connect data for advertising.

6. Storage and security

Information that is sent between the app and our online services is transmitted over HTTPS. We use access restrictions and reasonable technical and organisational measures designed to protect information from unauthorised access, loss, misuse or alteration. No method of transmission or storage can be guaranteed to be completely secure.

7. Data retention and deletion

We retain account, clinic, care, activity and related records for as long as needed to provide the service and meet operational, clinical, accounting or legal record-keeping requirements. When information is no longer required, we will take reasonable steps to delete it or remove identifying details, subject to applicable retention obligations and legitimate record-keeping needs.

Uninstalling the app stops future collection by the uninstalled app but does not automatically delete information already submitted to our server, clinic records, or data held by Health Connect. To request access, correction or deletion of information associated with your account, contact us using the details below. We may need to verify your identity and account authority before acting on a request.

8. Your choices

• You can choose whether to grant Health Connect step access.
• You can deny location permission and stop GPS activity tracking.
• You can manage notification permissions in your device settings.
• You can request access to, correction of or deletion of account information by contacting us, subject to applicable legal and clinical record-retention requirements.

9. Children

The app is designed for use by people with an account authorised by GET SET GO. If you believe a child has provided personal information inappropriately, contact us so we can review the matter and take appropriate action.

10. Changes to this policy

We may update this Privacy Policy when the app, our practices or applicable requirements change. The revised policy will be published on this page with an updated effective date.
